Module 1: AI Isn’t What You Think
AI for Contractors Course | ITech Plus | By Ric Acevedo
Welcome to the course.
If you’re a contractor reading this, you’ve probably heard about AI roughly 500 times in the last year. ChatGPT this, Copilot that, automation everything.
And you’ve probably thought some version of: “That’s cool, but I build things for a living. What’s AI going to do for me?”
Fair question. Let me answer it directly.
What AI Actually Does for Contractors
AI is not going to bid your jobs. It’s not going to manage your crew. It’s not going to show up on a jobsite and frame a wall.
What AI does is eliminate the boring, repetitive admin work that eats your evenings and weekends:
- Writing estimates and proposals – Instead of spending 3-4 hours formatting a bid from your takeoff notes, you paste your notes into AI and get a formatted, professional proposal in 20 minutes. Same detail. Same accuracy. 3x faster.
- Following up on estimates – You send a bid and then forget to follow up. AI can send a professional follow-up email on Day 1, Day 3, and Day 7 automatically. Contractors who do this see close rates jump from 25% to 35-40%.
- Daily field reports – Your crew takes photos and sends texts all day. AI can turn those into a formatted daily report with timestamps, weather data, and task summaries. 30 minutes of paperwork becomes 2 minutes.
- Client communication – Weekly project update emails to the homeowner or GC, generated automatically from your project management notes.
- Email drafting – Every professional email you write – responses to RFIs, vendor communications, change order notifications – AI drafts them in seconds from your bullet points.
What AI Can NOT Do (Yet)
Let me be honest about the limits:
- AI cannot do a site walk. It doesn’t know about the drainage issue on the south side of the lot.
- AI cannot price custom work accurately. It doesn’t know your relationship with your lumber supplier.
- AI cannot replace your judgment. When a homeowner asks for something that doesn’t meet code, AI won’t catch it.
- AI cannot manage people. Your crew, your subs, your clients – those relationships are human.
AI handles the desk work. You handle the field work. That’s the split.
The 3 Things Every Contractor Should Automate First
If you do nothing else from this course, do these three things:
1. Email drafting
Start using ChatGPT or Microsoft Copilot to draft your emails. Not every email – just the ones that take you more than 2 minutes to write. Paste in your bullet points, get a professional email back in 10 seconds.
Time saved: 30-60 minutes per day.
2. Estimate follow-ups
Build a simple 3-email follow-up sequence for every bid you send. Day 1: “Thanks for the opportunity.” Day 3: “Just checking in – any questions?” Day 7: “Want to schedule a time to walk through the numbers?”
Time saved: 2-3 hours per week. Revenue gained: 10-15% more closed bids.
3. Document templates
Take your most common documents – proposals, change orders, daily reports, punch lists – and create AI-powered templates. Instead of building from scratch every time, you fill in the specifics and AI formats the rest.
Time saved: 5-10 hours per week.
Real Numbers from Real Contractors
Here’s what I’ve seen working with contractors in Central Florida:
| What They Did | Before | After | Saved |
|---|---|---|---|
| Bid proposals (5/week) | 20 hrs | 2.5 hrs | 17.5 hrs |
| Follow-up emails | 3 hrs | 0 hrs | 3 hrs |
| Daily reports | 2.5 hrs | 10 min | 2.3 hrs |
| Client emails | 2 hrs | 15 min | 1.75 hrs |
| Total | 24.5 hrs/wk |
Even if you only capture half of that, you’re getting back 12 hours a week. That’s a full day and a half. Every week. Forever.
What Tools Do You Need?
You don’t need expensive software.
| Tool | Cost | What It Does |
|---|---|---|
| ChatGPT Plus | $20/mo | Email drafting, bid generation, documents |
| Microsoft Copilot | $30/user/mo | AI inside Outlook, Word, Excel, Teams |
| Microsoft 365 | $22/user/mo | Email, cloud storage, security |
| Automation platform | Free-$29/mo | Automatic follow-ups, reports (we recommend one based on your setup) |
Total cost for a one-person operation: $20-50/month. Compare that to hiring an admin at $3,500/month.
