Here is what happens when you use AI for estimating:
You take your takeoff notes – the raw measurements, material counts, and scope notes you jot down during a site visit – and paste them into ChatGPT or Microsoft Copilot. In about 60 seconds, you get back a formatted, professional bid proposal with:
- A clear project summary
- Detailed scope of work broken into numbered items
- Materials list with quantities
- Labor breakdown
- Timeline with start and completion dates
- Payment terms
- Exclusions (things NOT included)
You review it, adjust the numbers (AI does the writing, YOU do the pricing), and send it.

How to Do It (5 Simple Steps)
Step 1: Open ChatGPT (chat.openai.com) or Microsoft Copilot on your computer.
Step 2: Copy your takeoff notes from your spreadsheet, notepad, or wherever you keep them.
Step 3: Paste your notes along with this instruction (copy this exactly):
“I am a [general contractor / HVAC contractor / roofer / etc.] in Central Florida. Here are my takeoff notes for a [type of project] at [address]. Generate a professional bid proposal with these sections: Project Summary, Scope of Work, Materials List, Labor Breakdown, Timeline, Payment Terms, and Exclusions. Use a professional tone.”
Step 4: Review the output. Edit any numbers, add your pricing, and adjust anything that does not match the job.
Step 5: Copy into your proposal template (Word doc or PDF). Send it.
That is it. Five steps. Twenty minutes instead of four hours.

Where AI Gets It Wrong
Be honest about the limits so you use this tool correctly:
- AI does not know your site. It will not catch the drainage issue or the access problem. Your site visit is still essential.
- AI does not know your pricing. It will guess at numbers. Always put in your own costs based on your suppliers and margins.
- AI does not know your relationships. It will not know that you always give the Johnsons a 10% discount.
- AI does not know local code. Always verify permit requirements and code compliance yourself.
The rule: AI does the writing and formatting. You do the pricing and judgment. Never send an AI-generated bid without reviewing the numbers yourself.
