RingCentral vs 8×8 vs Nextiva: What Actually Matters
Most small businesses shortlist the same three: RingCentral, 8×8 and Nextiva. All three work. The differences that matter after month three are rarely the ones on the comparison page.
Which VoIP provider is best for a small business?
For most small businesses the honest answer is that all three are adequate and the decision should be made on contract terms, number portability and support responsiveness rather than features. RingCentral has the broadest integrations, 8×8 tends to be cheaper at scale, and Nextiva is usually strongest on support. The feature lists have largely converged.
What actually goes wrong with VoIP
We run phone systems for a living, and the support calls almost never concern features. They concern four things.
1. The network, not the phone system
Choppy audio and dropped calls are usually a local problem — an overloaded connection, a router that treats voice like any other traffic, or wifi where a cable belongs. Changing provider fixes none of that. Anyone who sells you a phone system without asking about your internet is not paying attention.
2. Number porting
Moving your existing numbers is the single most stressful part of a switch, and it is where cheap providers show their limits. Ask specifically: who does the porting, how long, and what happens if it fails midway. A botched port means your main line stops working during business hours.
3. The contract
Look for the auto-renew clause and the notice period. Three-year terms with a 60-day cancellation window are common, and people discover them at renewal rather than signing.
4. What happens when the internet dies
Every provider offers call forwarding to mobiles on failure. Test it before you need it. A failover that has never been tested is a plan, not a safeguard.
Where the three genuinely differ
RingCentral
The broadest integration list — if you need the phone system talking to a specific CRM, this is usually the one that already does. Also the most feature-dense, which for a ten-person office can mean paying for a lot you never touch.
8×8
Generally competitive on price, particularly as seat count grows, and strong internationally if you have staff outside the US. The interface is less polished.
Nextiva
Usually the best support of the three, which matters more than it sounds. When your phones are down, the difference between a fifteen-minute answer and a two-hour one is the whole experience.
Do you need a hosted provider at all?
Worth asking honestly. For a business under about twenty users with straightforward needs, any of the three is fine and the decision barely matters. Above that, or where you need unusual call routing, recording for compliance, or integration with a line-of-business system, a self-hosted or managed PBX can cost less and do more — at the price of someone having to look after it.

If your practice handles patient information
Different question entirely. Voicemail and call recordings routinely contain protected health information, which means the provider needs to sign a Business Associate Agreement and the configuration has to match.
