How Managed IT Is Actually Priced

Three models dominate, and the one a provider uses tells you more about how they make money than the number does.

Break-fix (hourly)

You pay when something breaks. Predictable for the provider, unpredictable for you — and it means your IT company earns more when your systems behave worse. Fine for a two-person office, painful past about ten.

Per-device

A flat rate per server, desktop and laptop. Simple to quote, but it punishes you for the modern reality that one person now has a laptop, a phone and a tablet.

Per-user

A flat rate per person, covering whatever devices they use. This is what we do, and it is what the calculator above estimates. It scales with headcount rather than hardware.

Read the Small Print

What is usually missing from a cheap quote?

A quote can only be compared against another quote if both cover the same work. These are the items most often left out.

  • On-site visits. Some plans are remote-only and bill travel separately. Ask what an on-site call costs before you need one.
  • After-hours work. Migrations and server work happen at night. Check whether that is included or billed at a premium.
  • Licences. Microsoft 365, backup and security tools are often quoted separately. A low per-user rate with licences on top can cost more than a higher all-in one.
  • Onboarding. The first month of any new provider is real work. Ask whether it is a one-off fee and what it covers.
  • Projects. A new server, an office move, a cabling job. These sit outside a managed plan almost everywhere — that is normal, but it should be said out loud.

How much do managed IT services cost for a small business?

For a small business in Central Florida, expect roughly $125 to $299 per user per month depending on the level of security and support included. A ten-person office typically lands between $1,250 and $2,000 a month. Anything far below that range usually excludes licences, on-site work, or both.

Is flat-rate or hourly IT support cheaper?

Hourly is cheaper in a quiet month and considerably more expensive in a bad one. Flat-rate costs the same either way, which is the point — you are buying predictability and an provider whose incentive is for nothing to break. Below about ten people, hourly can genuinely be the better deal.

Why are some managed IT quotes so much cheaper?

Usually because they cover less. The common exclusions are licences, on-site visits, after-hours work and security tooling. Occasionally it is because the provider is remote-only and overseas. Neither is wrong — but compare the scope, not the number.

What should be included in a managed IT plan?

At minimum: help desk support, monitoring and patching, endpoint security, and backup with tested restores. Beyond that, Microsoft 365 management, email security and a named person who knows your business are what separate a plan from a phone number.
