Toast vs Square vs Clover: The Network Behind Your POS, and What Happens If You Leave

A restaurant point of sale is not really a cash register. It is a set of networked computers taking card payments, talking to kitchen printers and displays, and in most cases sharing a connection with whatever else is on the premises — including the Wi-Fi you hand out to guests.

That last part is how restaurants get breached, and it never comes up in a POS demo.

This is not a feature-by-feature review. What follows is the comparison from the side we actually see along the US 192 corridor and across Polk and Osceola: the network your POS sits on, what happens when the internet drops mid-service, and what you own if you decide to leave.

Quick Overview: How These Three Actually Differ

The three systems most independent Central Florida restaurants evaluate are Toast, Square and Clover. They come from genuinely different places, and it shows.

Toast was built for restaurants specifically — kitchen workflow, coursing, restaurant-grade hardware. Square began in retail and grew into restaurants, which makes it flexible and easy to start with. Clover is fundamentally a payments product, usually sold through a bank or merchant services rep, which is why its pricing varies so much from one restaurant to the next.

A note on prices. Figures are left out, and with Clover in particular the reason is that there is no single answer — it is sold through resellers who each set their own software fee and processing rate, so two restaurants on the same system routinely pay very different amounts. Whichever you consider, price it over three years including hardware, software, processing and any add-on modules. Processing is usually the largest number by far and gets the least scrutiny.

The Thing That Actually Breaches Restaurants

Card data is stolen from restaurants far more often than from most businesses, and the route in is almost never the POS software itself.

It is the network. A single flat network where the POS terminals, the office computer, the kitchen printers, the cameras and the guest Wi-Fi all sit together. Someone connects to the guest network — which is the entire point of guest Wi-Fi — and from there can reach everything else on it.

Your POS should be on its own network segment, separated from guest Wi-Fi and from everything else. This is not exotic or expensive; it is standard business networking equipment configured properly. It is also the single most valuable thing you can do for the security of a restaurant, and the thing most often skipped because the POS vendor installed the terminals and left.

Two related points, both cheap and both usually wrong:

  • Change the default password on every device — router, cameras, printers. Default credentials on internet-facing equipment are found by automated scanning within hours.
  • Guest Wi-Fi should be genuinely isolated, with client isolation on so guests cannot see each other either. A password taped to the counter is not separation.

PCI Compliance Is Yours, Not Your POS Vendor’s

Taking cards makes you a merchant with PCI DSS obligations. Modern systems reduce your burden considerably — card data is encrypted at the reader and never sits on your machines — but reduced is not eliminated.

What remains yours: network segmentation, unique logins for staff rather than a shared manager code, keeping systems updated, and completing the self-assessment questionnaire your processor asks for. If you have been ignoring that questionnaire, that is the gap to close — it is also usually tied to a monthly non-compliance fee you may be paying without knowing.

When the Internet Drops Mid-Service

This is the operational question that matters most, and it deserves a specific answer before you sign.

All three systems handle an outage differently, and “offline mode” covers a range of behaviours. Some let you keep taking orders and store card transactions to process when the connection returns — with the risk that a declined card surfaces after the guest has gone. Some let you take orders but not cards. Some become substantially less useful.

Ask the vendor directly: with the internet down, can we take an order, fire it to the kitchen, and accept a card? Get the answer before the Friday it happens.

For a restaurant doing real volume, a second internet connection — ideally cellular failover on the router — is inexpensive next to a lost dinner service. In this part of Florida, storm season makes that a matter of when.

What You Own If You Leave

This is where restaurants get caught, and it is worth understanding before rather than after.

Toast and Square tie the hardware to their own payment processing. Leave, and the terminals do not become someone else’s POS — they become inventory you cannot use. That is not a criticism, it is the model, but it should be priced in.

Clover hardware is purchased outright and can move between Fiserv resellers, which is a genuine structural advantage. It also cuts both ways: because resellers set their own rates, the deal you were sold may be well off market, and it is worth periodically checking.

Whichever you choose, ask one question before signing: can we export our full sales history, menu and customer data, and in what format? Years of sales history is genuinely useful for planning, and “we can run reports for you” is not the same as having your data.

Switching Systems: What Actually Happens

Menu rebuilds are the bulk of the work, and they are more work than anyone expects — modifiers, combos, coursing and pricing rules do not transfer between systems. Budget real staff hours for it.

Do the changeover on your slowest day, keep the old system running alongside for at least one service, and expect the first busy shift on a new system to be slower. Train the closing shift, not just the opening one; the closers are the people who will discover what nobody configured.

How to Choose

Toast tends to suit full-service restaurants with real kitchen complexity, where restaurant-specific workflow and hardware built for the environment justify the commitment.

Square tends to suit smaller, growing or counter-service operations that want a low entry cost and no long contract.

Clover tends to suit operators who value owning their hardware and being able to move processors — provided they are prepared to shop the reseller rather than accept the first rate offered.

The honest summary: the POS is rarely what holds a restaurant back. The flat network shared with guest Wi-Fi, the default password still on the router, and the system that stops taking cards when the connection drops are what turn into a bad night — or a very bad year.

  • Default passwords changed on the router, cameras and every networked device
  • Individual staff logins rather than one shared manager code
  • A clear answer on offline behaviour, tested before you need it
  • Cellular failover on the router if you do real volume
  • Your PCI self-assessment questionnaire actually completed
  • A tested export of sales, menu and customer data
